How to use this template

  1. Define the inventory scope, export date, canonicalization rules, and required data sources.
  2. Collect stable page identity, ownership, purpose, maintenance, performance, and technical fields.
  3. Inspect accuracy, usefulness, evidence, accessibility, risk, and intent on the live page.
  4. Select an action with rationale, priority dimensions, effort, dependencies, and accountable owner.
  5. Review overrides, group systemic work, and update the record after each decision is implemented.

Build a trustworthy inventory boundary

Define the site area, content types, locales, date, and systems included. Export canonical URLs and join only fields whose identifiers are reliable. Deduplicate protocol, trailing-slash, parameter, redirected, and canonical variants without losing their relationships. Capture title, content type, owner, publication and review dates, status, locale, intended audience, reader task, strategic role, organic data, analytics, conversions where appropriate, backlinks, support evidence, and technical condition. Missing metrics are not zero. Mark inaccessible, untracked, orphaned, or ownerless pages explicitly so the inventory reveals operational debt rather than quietly dropping it.

Assess risk and usefulness before traffic

Inspect factual accuracy, evidence age, product alignment, policy or legal exposure, privacy, accessibility, broken journeys, and the consequence of a reader acting on obsolete information. A low-traffic safety page can outrank a popular but stable article. Evaluate whether the page still serves a distinct task, gives a direct and complete answer, contains original value, matches current intent, and has a legitimate place in the information architecture. Then use performance trends, query assignment, links, support demand, business value, and maintenance cost as context. Avoid rewarding raw page views when they come from confusion, duplicate URLs, outdated demand, or navigational leakage.

Turn scores into explicit editorial actions

Choose refresh, verify and retain, consolidate, redirect, archive, remove, research, or monitor. Document why, the evidence, confidence, estimated effort, dependencies, risk tier, owner, and decision deadline. Use separate priority dimensions—urgency, reader impact, strategic value, and feasibility—before creating a final ordered queue. A single weighted score can hide a critical risk behind uncertain estimates, so allow editorial overrides with rationale. Group pages that share sources, components, templates, or intent so the team fixes systems rather than repeating isolated edits. Recheck the inventory after implementation and keep completed decisions visible for future audits.

Frequently asked questions

Should pages with no traffic be deleted?

No. Check tracking, audience size, operational purpose, links, risk, reader need, and consolidation options before deciding.

How often should the inventory be rebuilt?

Use a cadence appropriate to change and risk, plus event-based updates after migrations, product releases, policy changes, or major incidents.

Can one score determine priority?

A score can sort candidates, but review its inputs and allow documented overrides for severe risk, missing data, or strategic obligations.

Is a refresh always the right action?
