- Verify release and retain evidence, corrections, delivery issues, and future ownership.
Identify material user impact
Work from an approved change table that states old wording, new wording, reason, effective date, and affected users. Translate legal drafting into concrete impact without replacing the terms: what service, payment, content, data, account, rights, or process changes, and what remains the same. Separate a correction or clarification from a new obligation. Do not call an update “minor” merely because it is convenient; let qualified owners assess materiality and required treatment.
Give people time, choices, and a route to details
State publication and effective dates using absolute dates and relevant time zones. Explain required actions, available choices, deadlines, and consequences of no action according to approved guidance. Link directly to the current terms, prior version or comparison where provided, and support. Avoid a vague banner that disappears before a person can read it. Design for account status, email deliverability, accessibility, and languages across affected users.
Coordinate channels and proof of release
Map in-product notice, email, website, help center, account messages, receipts, and support scripts so wording and dates agree. Choose channel and repetition based on impact and approved obligations, not marketing preference. Prepare agents for likely questions and escalation. Verify links, locale versions, delivery, display, and archived records after launch. Record what was sent, to whom, when, through which system, and any known failure that needs remediation.

No. Qualified legal owners must make that assessment under applicable requirements and direct the communication process.

What if a translation is delayed?
